Privacy Policy

What Syadu HRMS collects, why, and who can see it, in plain language.

Last updated 31 October 2026

01Who this applies to

Syadu HRMS is software that companies use to manage their own workforce. For the employee records a Company keeps in it, the Company decides what is collected and why, and Syadu HRMS processes that data on the Company's behalf. For the people who register a company or write to us through the website, Syadu HRMS is the party that holds the information you give us.

02What is collected

  • Website visitors and sign-ups: your name, work email, phone number, company name and the message or team size you type into the sign-up or enquiry form, plus your IP address and browser type for security and abuse prevention.
  • Employee records entered by the Company: name, contact details, job details, salary and bank details, statutory numbers (such as PAN, UAN, Aadhaar where the Company chooses to keep them), documents and leave, expense and ticket records.
  • Attendance: the time of each punch, a live selfie, device location (GPS) and the address it resolves to, and, only if the Company uses a face-scan kiosk or biometric terminal, the face or fingerprint data needed for that device.
  • Sign-in data: login times, the device a session belongs to, and failed-login counts used to protect accounts.

03How it is used

  • To run the service for the Company: attendance, leave, payroll, payslips, letters, expenses and support tickets.
  • To keep accounts and the platform secure, and to stop abuse such as repeated password guesses or automated sign-ups.
  • To reply to enquiries, send the sign-up verification email, password-reset links and service notices.

We do not sell personal data and we do not use it for advertising.

04Who it is shared with

Data is shared only where it is needed to run the service: with the hosting provider that stores it; with the email provider that delivers our messages; with an SMS provider if your Company switches on SMS; with OpenStreetMap's Nominatim place-name service, which receives only the rounded coordinates (or the address text an Admin searches for) from our server, never your name or account; with a bot-check provider (for example Cloudflare Turnstile or hCaptcha) on the sign-up and sign-in forms when one is configured; and with a payment provider if you pay for a plan online. We also disclose data where the law requires it.

05Who inside the Company can see it

  • Admin and HR can see company-wide records.
  • Managers see only the people who report to them.
  • Employees see their own records.
  • Different companies on the service are kept apart; one Company cannot see another's data.

06Cookies

We use only the cookies the service needs to work: a sign-in session cookie for each panel, and a cookie that remembers the device on the employee panel. Visitors who are not signed in do not receive a session cookie. We do not use advertising or tracking cookies.

07How long it is kept

Company records are kept while the Company has an account. When a Company is deleted, its data and uploaded files are removed; invoices and payment records are kept as required for accounting. Backups made before a deletion may remain for a limited time. Security logs are kept for a limited period.

08Your choices

To see, correct or delete your information as an employee, speak to your Company's HR; they control the record. For information you gave us through the website, write to us at the contact address below and we will act on it as the law requires.

09Security

Passwords are stored as one-way hashes, access is limited by role, and sessions expire. No online service can promise perfect security, so please use a strong, private password and tell HR at once if you think someone else has your login.

10Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
